PAY RANGE: $17.57 /hour - $23.89 /hour; $36,545.60 - $49,691.20 annualized
JOB TYPE: Full-time, non-exempt, Monday – Friday, 8am – 5 pm, and as needed based upon the division and agency’s needs

JOB SUMMARY/PURPOSE: The Civil Clerk provides administrative and clerical support for the Citrus County Sheriff’s Office in managing civil process and court-related documentation. This position is responsible for maintaining accurate records and processing legal documents. The Civil Clerk serves as a critical link between the courts, law enforcement personnel, and the public, ensuring timely and accurate handling of civil and judicial processes.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Processes and reviews civil documents such as subpoenas, summonses, writs, and court orders for accuracy and compliance.
- Data entry of court documents into the civil software program efficiently and with minimal mistakes.
- Coordinates and works closely with clerk's office personnel, various law enforcement agencies, private attorneys and their personnel, the Public Defender's Office, and the State Attorney's Office.
- Prepares and distributes legal notices, affidavits of service, and related documentation.
- Performs general clerical duties including data entry, filing, scanning, and document retrieval.
- Updates Civil staff of new law and procedural updates provided through contracted legal counsel.
- Responds to citizens’ and attorneys’ personal and telephonic inquiries with accuracy and courtesy.
- Orders and stocks day-to-day office supplies required for the Civil Section and Court Security personnel with encumbered funds through purchase orders.
- Completes and coordinates all aspects of travel and training for all Civil Staff and Court Security personnel (travel coordinator tasks).
- Accepts, facilitates and executes all aspects of the levy process to include vetting documents provided (through communication with contracted legal counsel), maintain statutory guidelines, conduct auction and complete final document for return to court system/plaintiff’s counsel. Disperse collected funds from auction sale to senior lienholders and produce and provide a notarized bill of sale/property deed to winning bidder.
- Handles money and prepares bank deposits weekly.
- Coordinates and manages the monthly Florida Department of Revenue billing spreadsheet and payment request through the D.O.R. liaison in Tallahassee.
- Maintains and submits to the C.C.S.O. Finance Department monthly two separate Civil Process account spreadsheets that detail all incoming and outgoing funds to the Civil Department.
- Prepares and provides a monthly check to the Board of County Commissioners with the proceeds of all fees collected for civil process served.
- May be tasked with other duties and responsibilities to support coverage of the Duty Office as required.
- Picks up daily mail from the C.C.S.O. Operations Building and complete all outgoing mail services by applying correct postage.
- All CCSO employees are considered essential emergency workers and are subject to working in any capacity/hours deemed necessary by the Agency during activations, including but not limited to, in-County and out-of-County deployments.
SKILLS AND ABILITIES:
- Proficient computer and typing skills, as well as knowledge in Microsoft Office programs.
- Strong organizational skills and attention to detail.
- Must possess excellent interpersonal and communication skills.
- Must be flexible and able to manage encounters with difficult people and situations with professionalism.
EDUCATION, EXPERIENCE, AND QUALIFICATIONS:
- High school diploma or G.E.D.
- Previous Sheriff’s Office Civil Clerk or Clerk of the Court experience preferred
WORKING CONDITIONS:
- Work in an office environment.
- Position requires prolonged sitting, standing, walking, reaching, twisting, turning, kneeling, bending, squatting, and stopping in the performance of daily activities.
- Position requires grasping, repetitive hand movement, dexterity, and fine hand coordination in preparing reports using a computer keyboard.
- Must have the ability to lift up to 50 pounds occasionally.
REQUIREMENTS:
- Must have the legal right to work in the United States.
- Valid Florida Driver’s License
- If a current CCSO employee, then no disciplinary actions within the last 12 months and completion of current position time commitment requirement.
- Must be willing to attend Civil Process Training and Levy Training classes that require in state travel and hotel stays.

An oral board with job-related questions and/or scenarios will be administered on a date specifically set with all potential candidates notified at least three days in advance of the specified date. The oral board passing score will be 80% or higher. The Sheriff reserves the right to make selections from internal or external sources.
