PAY RANGE:          $20.91/hour - $28.21hour; $43,492.80 - $58,676.80 annualized
 
JOB TYPE:              Full time (40 hours), non-exempt, Monday – Friday, 7:00 am – 4:00 pm

JOB SUMMARY/PURPOSE: The Fleet Process Coordinator is responsible for overseeing and streamlining the operational workflows within the Fleet Services Division of the Citrus County Sheriff’s Office. This role ensures that vehicle maintenance, procurement, inventory, and deployment processes are executed efficiently and in compliance with agency standards. The coordinator serves as a liaison between Fleet Services, law enforcement personnel, vendors, and administrative staff to maintain fleet readiness and accountability.
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
 
• Manages the procurement process within fleet maintenance.
• Assists with budget preparation for upcoming year by forecasting vehicle and equipment needs to meet the agency’s needs.
• Maintains a database of agency vehicles and other logistical information including mileage, fuel usage, service history, and cost analysis.
• Monitors vehicle status, service timelines, and readiness for deployment.
• Prioritizes workload requirements to ensure repairs and vehicle upfitting is completed on schedule.
• Coordinates semi-annual radar and speedometer calibrations with the vendor and notifies all agency employees of the scheduled date.
• Prepares documentation to decommission vehicles at end-of-life service, including obtaining titles from Finance, taking photographs of each vehicle, and completing fixed asset disposal forms.
• Oversees work assignments for the volunteer members who assist at Fleet.
• Coordinates scheduling of preventative maintenance, inspections, and repair work for agency vehicles.
• Serves as point of contact for deputies and staff regarding vehicle assignments and service needs.
• Tracks vehicle damage reports, ensuring that insurance claims are filed and repairs are scheduled as needed.
• Coordinates with external vendors to order equipment for new vehicles and for specialized repairs or installations.
• All CCSO employees are considered ‘essential emergency workers’ and are subject to working in any capacity/hours deemed necessary by the Agency during activations, including but not limited to, in-County and out-of-County     deployments.
 
SKILLS AND ABILITIES:
 
• Accurate entry and retrieval of information from various computer systems and programs.
• Ability to review documents for accuracy and completeness, and compile data and information for reports.
• Ability to maintain accurate records, logs, and other time-sensitive documentation.
• Communicate effectively both verbally and in writing.
• Knowledge of grammar, punctuation, and spelling.
• Budget management skills.
• Ability to prioritize and proofread own work.
• Knowledge of general office equipment including computers, printers, and scanners..
• Strong skills in Microsoft Office programs including Word, Excel, PowerPoint, Outlook, and other software programs.
• Strong organizational skills to manage complex scheduling and account management tasks.
• Attention to detail.
• Ability to quickly remember and process large amounts of information.
• Effective time management and multitasking abilities to handle diverse responsibilities.
 
EDUCATION, EXPERIENCE, AND QUALIFICATIONS:
 
• High school diploma or GED and three years of experience in fleet coordination, automotive service, or logistics required.
• Associate’s degree in business, logistics, or automotive technology preferred.
• Proficient in Microsoft Office programs, including Excel, PowerPoint, and other software used in modern accounting practices.
 
WORKING CONDITIONS:
 
• Work is primarily completed in an automotive shop with the potential to occasionally work outdoors to complete special projects.
• Stand or sit at a workstation for prolonged periods, walk long distances, and climb stairs.
• May travel to various work sites using a CCSO issued vehicle.
• Ability to lift and carry up to 50lbs.
• Standing, bending, and reaching for extended periods.
• Repetitive hand and arm movements.
 
REQUIREMENTS:
 
• Must have the legal right to work in the United States.
• Valid Florida driver’s license required.
• If a current CCSO employee, then no disciplinary actions within the last 12 months and completion of current position time commitment requirement.

An oral board with job-related questions and/or scenarios will be administered on a date specifically set with all potential candidates notified at least three days in advance of the specified date. The oral board passing score will be 80% or higher. All employees/members will compete against one another for one position and the final selection to fill this slot will be made by the Sheriff. The Sheriff reserves the right to make selections from internal or external sources.
